Minutes of the Occupational Health and Safety Committee on 5 March 2020

Present at the meeting: Olav W. Bertelsen, Gudmund Skovbjerg Frandsen, Marianne Dammand Iversen, Søren Poulsen, Simon Møller Christensen, Kurt Jensen, Ellen Bernadette Noer, Kasper Munch.

Re. 1. Information about any work-related accidents and the status of absence due to illness

There have been no accidents since the last meeting in the Occupational Health and Safety Committee, and Kurt showed statistics on the number of sick days among the employees, and this was at a very acceptable level.

Re. 2. Any outstanding problems from the physical WPA

Marianne informed that all of the issues from the physical WPA on the Department of Computer Science have been dealt with. The only thing that remains to be completed is about first aid courses. Agreements have therefore been made with the Crecea. They can teach courses in both English and Danish, and Marianne is in the making of finding out who wants these courses. Kasper asked whether BiRC’s staff members can participate in the courses, and it was approved.

Re. 3. Status of the work on the action plans for the psychological WPA

Regarding the action plans for the tenured academic faculty, there is still an outstanding focus on stress management. At the last retreat, there was a stress session with a speaker who previously worked at AU HR. Kurt called for a more hands-on stress workshop, where people can obtain specific tools for structuring their working day. He suggested Bjarne Toftegaard, who has previously facilitated a workshop at the department. Olav will take this into consideration in the future work with the action plans.

With regard to the action plans for the tenured administrative faculty, all the issues have been addressed. The division and prioritisation of tasks are, among other things, discussed on a regular basis and will be discussed again on the next TAP day.

With regard to the action plans for the PhD students, Olav is still working on the formulation of teaching activities. Olav has had meetings with the PhD student and the working group working with the action plans. The work is still in the process.

There were no representatives of the postdoc working group, so a status report will be presented at the next meeting.

Re. 4. Status of the security of labs

Søren informed that a lab security inspection round was performed on 3 February 2020 by the security working group for Laboratories. There is still a need to pay attention to order and cleaning-up, but there have been significant improvements. With regard to the use of chemicals, more storage will be established in the CMA Lab at the Ada 1 corridor and in the prototype room.

According to Simon there will be user instructions on all machines, and there will be signs with information about what to do and who to contact. This information will be available in the DA/UK.

Re. 5. Annual work environment discussion 2019

The committee reviewed the items in the annual work environment discussion and found that they were all in good shape.

Re. 6. Status for participation in compulsory AMU courses

Simon is the only person who has not yet attended the AMU courses. He will sign up for a course as soon as possible.

Re. Is there a need/interest in local first aid courses

This item was included in item 2 on the physical WPA

Re. 8. Any other business

Marianne checks whether PhD student and Postdocs have received email about the university's and the health authorities ' guidelines about COVID19. Marianne will also inform via info screens.
