The department car belongs to the Department of Computer Science. It has a designated parking space in the underground parking garage, right next to the bicycle parking area. The car is a Tesla Model Y with the registration number DY37113.
One of the department’s student helpers is responsible for cleaning the car as needed, arranging service appointments, and ensuring that the tyres are changed according to the season.
The car may be used by employees and PhD students, as well as by student helpers for tasks for CS Staff. Students at CS can book the car for study relevant occasions, but must obtain a driving permit no later than a week before. They must contact Tina Rudolph and provide documentation such as a driver’s licence. A valid driving permit is required before booking the car.
The key card for the car is kept in Tina Rudolph’s office, and she usually handles both pickup and return. If she is not in the office, the student helpers in the neighbouring office (building 5342, room 114) will issue the key card instead.
Together with the key card, you will receive a charging token that must be used when charging the car outside the department, if you use Clever. It is also possible to charge at Tesla Supercharger simply by driving to the charger. If needed there is a cable for charging in the back of the car, under the extra car tyre. After using the car, you must ensure that it is connected to the charger in the underground parking garage at the Department of CS. The battery level must be at least 80% before the next trip.
If you are travelling outside Denmark, always contact Tina Rudolph well in advance. Supplementary insurance must be arranged.
You can book the department car yourself through Outlook. This is done by creating a meeting in your own calendar and inviting the car to the meeting. Add occation and your name. The car appears as a person named Aarhus Bil CS Åbogade. Outlook may notify you that no room has been selected; simply proceed with the booking anyway. You can check the car’s calendar to see its availability and confirm that your booking has been registered.

The logbook is in the car’s glove compartment. The driver must record the date(s) of use and the odometer reading at both the start and end of the trip. It is important that the logbook is filled out before returning the key card.
When returning the car, please remember to fill out the logbook, connect the car to the charger, and return the key card to Tina Rudolph or to the student helpers (building 5342, room 114).
